Please ensure that you have turned on calendar notifications enabled so that you don't miss out on meetings
In cases where you will be absent for day(s) or for parts of days, then:
Use out-of-office calendar settings
Set the out-of-office calendar message (e.g., Vacation, Team Building, Internal Training, Sick Leave, etc.) so that the Meeting Organizer can see the reasons for your unavailability
The first time that you use out-of-setting messages, we recommend that you test the following with someone:
The out-of-office setting should cause all meetings for that day to be auto-declined
The organizer receives an automated auto-decline message with the reason for your out-of-office setting (e.g., Vacation)
Procedure for Required Participants:
Please ensure you Accept or Decline all the Meeting Invitations
Accept:
By default, click to Accept the entire meeting series
Decline (Reject):
If you have already setup Out-of-office settings, that should automatically trigger Decline responses and automated Decline messages
In the case of any ad-hoc Decline, you can click on Decline and also write a message so that your Meeting Organizer is aware of the reason
Tentative (Maybe):
This should not be used or used very rarely. If you do use it, please write a message so that the Meeting Organizer is aware of the reason
Procedure for Optional Participants:
It is good practice (but not enforced) for you to Accept/Decline the Meeting Invitation since the meeting will be executed regardless of your presence
Your Meeting Organizer would have included one of these in the Meeting:
Zoom
MS Teams
Google Meet
Please ensure you have tested:
Camera and Microphone
Screensharing, including selecting a monitor for Screensharing in case you have multiple monitors.
The team should know how to use their Ticketing tools (e.g., JIRA or other) & Documentation tools (e.g., Confluence or other).
